The first week is focused on helping the employee understand how work gets done at Clark while becoming familiar with systems, processes, and key people.
Schedule and expectations
- Add recurring meetings, including team, department, and 1:1 meetings.
- Review job responsibilities and priorities.
- Cover work hours, time tracking, use of vacation and sick time, holidays, and any flexible work practices.
- Show the employee how to complete timesheets or leave reports in ClarkYou.
- Show the employee how to view pay statements.
- Make sure the employee has time during the first week to complete required onboarding training. See Training & Development below.
- Outline the employee first week in advance, including meetings, onboarding time, and training.
Training and development
Clark uses KnowBe4 to deliver required onboarding training.
During the employee’s first week, they will receive an email directly from KnowBe4 with instructions to access and complete their assigned training modules.
The required training may take a few hours to complete, so plan to block time early in the week.
Managers are not responsible for assigning the training, but should confirm that the employee has received the email, logged in, and started the modules. If the employee does not receive the email within the first few days, they should be directed to HR.
Benefits / new hire orientation
- HR will contact the employee during the first week to schedule orientation.
- Confirm they received the email and scheduled the session.
System access (if applicable)
SmartBuy Plus
- Access SmartBuy Plus securely through ClarkYOU.
- Complete the SmartBuy User Update and Registration Form within SmartBuy Plus.
- Training materials and instructional videos are available directly within the platform.
Banner access
- Submit Banner and/or Banner Finance access requests through SmartBuy Plus or the Banner Access page.
- Banner Finance access requests are reviewed and approved by the Finance team. Banner access requests are reviewed and approved by Information Technology Services (ITS).
- Banner access forms require the employee’s signature before submission.
Connecting across campus
- Schedule time with key partners and collaborators the employee will work with regularly.
- Share information about campus resources, such as Staff Assembly.
Campus safety
- Encourage enrollment in Clark Alerts via ClarkYou.
- Encourage use of the Guardian Safety App via University Police.
