Technology access
Technology setup should be initiated in advance so the employee has access on day one and can begin work without delays.
- Submit a computer request form to the ITS Help Desk at least 10 days prior to the start date via the ITS Help Desk portal / ticketing system.
- Include any additional needs, such as shared drives, printers, specialized software, or other system access.
- For non-standard setups, contact ITS early to review options and any potential departmental costs.
- Clark ID and email are generated once onboarding is complete and the Banner record is created.
- Most employees activate their account when their computer is deployed.
- If no device will be issued on day one, plan to bring the employee, with photo ID, to the Help Desk to activate their account.
Payroll and hiring setup
- Complete the Personnel Action / Payroll Authorization Form in Interview Exchange. (if applicable)
Telephone (if applicable)
- Email the ITS Help Desk at least 10 business days in advance to request phone setup.
- Include the employee’s work location(s).
- Include whether a new extension is needed, or an existing extension will be reused.
- If reusing an extension, include the prior employee’s name and extension number.
Connecting with your new hire
- Reach out before their first day by email or phone.
- Confirm arrival time, where to go, where to park, and who they should ask for.
- Share anything helpful about your team, such as dress norms, general schedule, or department-specific expectations.
Preparing your team & workspace
Preparing the team and workspace in advance helps the employee feel expected and ready to begin.
- Notify your team of the new hire, including name, role, and start date.
- Prepare the workspace, including desk, chair, and basic supplies.
- Consider preparing key contacts, department org chart, and any internal resources they will need early.

I-9 Employment Verification
Clark completes the I-9 employment verification process through WorkBright.
In most cases, employees will complete this process prior to their start date using WorkBright. They will receive an automated email with instructions to log in, upload their documentation, and coordinate with an authorized representative who will verify their identity documents on Clark’s behalf. There is no need to bring the employee to HR for I-9 verification.
Building a0ccess and keys
- Submit a Facilities Work Order via the Facilities request system for keys and access.
- If reassigning keys, email Facilities, attention Locksmith, with the following information:
- Department
- Key number
- Previous holder
- New employee name
Additional items
- Ensure the employee’s preferred name and pronouns are communicated appropriately.
- Review Remote Work / Telecommuting Policy if applicable.
