What is the onboarding process?

Recently hired for an on-campus position? If you have never worked on-campus before, then you first need to complete what we call the “onboarding” process prior to your first day of work. Upload your employment documents and then present your official government identification in person.

Three Steps of Onboarding

An abbreviated version of the onboarding process follows. For the complete version, review our Student Employment Verification Policy on Page 8 of the Student Employment Handbook.

Step 1: Bring your official government identification documents to Clark

Before coming to Clark, make sure you have your original forms of government identification. No copies or other forms of identification will be accepted.

U.S. students must complete these documents:

  • I-9 (first page only; please review the list of I-9 Acceptable Identification)
  • W-4 Federal Tax Withholding Form
  • M-4 Massachusetts Tax Withholding Form
  • Visual proof of your bank’s routing and account number from a screenshot of your banking app, voided check or bank statement

International students must supply these documents:

  • I-9 (first page only; please review the list of I-9 Acceptable Identification); students should note that if they do not have a Social Security Number (SSN) at the time they fill out their I-9 form, they may leave that field blank.
  • Copies of I-94, I-20, and visa
  • Voided check or bank statement confirming your bank’s routing and account number
  • Social Security Number (SSN) or a receipt from the Social Security Administration office verifying your application for an SSN. For information about how to apply for an SSN, see page 10 of the Student Employment Handbook.

Step 2: Submit your employment forms for review and verification

You will receive your onboarding packet to your email from clarku@interviewexchange.com titled “Your Onboarding Process at – Clark University [New Hire Student].” Please complete all necessary forms as instructed.

Note to international students: You will receive an email with instructions and credentials to log into Sprintax to determine if you are eligible for treaty benefits. Sprintax is handled by the Payroll Office.

Step 3: Verify your identity documents in person

Bring your acceptable identification documents to the Office of Student Employment, third floor of the Shaich Family Alumni and Student Engagement Center. Drop-in hours for identity verification are Monday, Wednesday, and Thursday from 3pm to 4pm, or by appointment.
