What is the onboarding process?
Recently hired for an on-campus position? If you have never worked on-campus before, then you first need to complete the “onboarding” process prior to your first day of work.
Four steps of onboarding
An abbreviated version of the onboarding process follows. For a more detailed look at the onboarding process, view our walkthrough!
Step 1: Bring your official government identification documents to Clark
Before coming to Clark, make sure you have your original forms of government identification. No copies will be accepted. For most Clark students, the forms of ID are usually a passport OR either an original SSN card or an original or certified birth certificate. I-9 Acceptable Documents outlines the full list.
Step 2: Submit your employment forms for review
You will receive your onboarding packet to your Clark email from “Clark University via WorkBright” with the subject line “Access your required paperwork for Clark University.” Please complete all necessary forms online as instructed.
U.S. students must complete these documents online:
- I-9 (Section 1; please review the list of I-9 Acceptable Identification)
- W-4 Federal Tax Withholding Form
- M-4 Massachusetts Tax Withholding Form
- Visual proof of your bank’s routing and account number from a screenshot of your banking app, voided check, or bank statement
International students must supply these documents online:
- I-9 (Section 1; please review the list of I-9 Acceptable Identification)
- Voided check or bank statement confirming your bank’s routing and account number
- Social Security Number (SSN) or a completed online application, and a scheduled in-person appointment at a Social Security Office
- If you need to apply for an SSN, you can start the process online! Download our flyer to walk you through the steps. For information, see page 10 of the Student Employment Handbook.
- You will receive a separate email with instructions and credentials to log into Sprintax to determine if you are eligible for treaty benefits. Sprintax is handled by the Payroll Office.
Step 3: Student Employment Staff review your I-9
The Office of Student Employment will review section 1 of your Form I-9 on WorkBright once it has submitted. If edits are required, an email will be sent from WorkBright with a detailed reason for denial.
Step 4: Complete I-9 section 2 with an authorized representative
You will need to present your acceptable ID documents to an authorized representative of your choosing who is age 18 or older. You can watch this video to learn more about the WorkBright digital Form I-9 process (relevant information starts at 1:00) and E-Verify. Your employment eligibility will be automatically run through the DHS/USCIS E-Verify system (or will run after you receive your SSN).
