Basic Services

The Facilities Management Mail Services department is responsible for central mail and receiving for the university campus. Mail Services endeavors to enable users through quality service to meet all mailing and receiving requirements.

Locations

The Student Mailroom is located in the central atrium on the 2nd floor of Higgins University Center.

The Main Mailroom is located in the basement of the Higgins University Center near the passenger elevator lobby.

The Departmental Mailroom is located in the basement of the Higgins University Center adjacent to the main mailroom (former Print/Copy center).

Service Level of Service User Responsibility
Mailboxes – Student Mailroom staff maintains Clark campus mailboxes. Users will pick up mail from mailboxes on a regular basis. Users should lock mailboxes at all times. Users should report broken mailboxes/combination locks to Mail Services staff.
Mailboxes – Departments Mailroom staff assigns and maintains Clark department mailboxes. Users will pick up mail from mailboxes (located in Main/Departmental Mailroom) on a regular basis.

Users should report broken mailboxes to Mail Services staff.

Incoming Mail Mailroom staff will process all incoming mail and distribute to Clark mailboxes as soon as possible. N/A
Outgoing USPS Mail Outgoing USPS mail will be processed at 4:30 p.m. Monday to Friday. Mail brought to the mailroom after the dispatch will be posted for the following day. All USPS mail postage will be charged to departments postage budgets.

Mail Services does not sell postage stamps.

High volume mailings that are date sensitive must be arranged with our office for processing and dispatch purposes. Please allow 48 hours’ notice when planning a large departmental mailing.

Inter-Office Distribution Mailroom staff will distribute all inter-office and on-campus mail pieces to Clark mailboxes as soon as possible. All recipient specific pieces for mailbox distribution should include the name, date, and recipient department.

Departments should include a return address on all pieces.

Unaddressed On-Campus Mail (announcements, flyers, etc.) Distribution Mailroom staff will not distribute announcements, flyers, etc. Other distribution methods will have to be used for this as Mail Services does not distribute.
Receipt and Distribution of Incoming Packages Mailroom staff will process all incoming packages from USPS, FedEx, UPS, DHL, etc. upon arrival.

Recipients will be notified through their Clark e-mail address that they have a package to pick-up at Mail Services.

After processing, staff will distribute packages to recipients at Main Mailroom Service window for departments and Student Mailroom Service window for students.

Users are responsible for picking up packages at Service window when notified.

Clark I.D. or photo I.D. required at Service window for pick-up.

Signature required at time of pick-up.

Students will pick up package at Student Mailroom.

Departments will pick up packages at Main Mailroom.

Shipping – Students Mailroom staff will give outgoing packages to USPS, FedEx, UPS, and DHL only with prepaid postage. Students need to have packages labeled and provide the correct prepaid postage for packages to USPS, FedEx, UPS, and DHL.
Mail Forwarding Mailroom staff will redirect the user’s USPS 1st Class mail to a home address when user is abroad and after graduation for three months.

UPS, FedEx, DHL cannot be forwarded.

Users must email Mail_Services@Clarku.edu and an online Forwarding Address Form will be sent for the user to fill out.

User must go to the USPS website and do a change of address. This is for permanent or temporary change of address.

Unidentifiable Unclaimed Packages Mail Services will make every effort to identify the owner of a package. When package owner cannot be identified the package will be held for 2 months and then be donated. To claim an unidentifiable package, bring Clark I.D. or photo I.D. and confirmation of purchase and tracking data.
Loading Dock Freight and Extra-Large/Heavy Packages Mail Services will notify owner once delivery arrives. Inform Mail Services via email Mail_Services@clarku.edu of when freight or extra-large/heavy packages will be delivered to the loading dock.

Submit a workorder for delivery of freight or extra-large/heavy packages to the department through the workorder system. https://fmworkorder.clarku.edu/

Borrowing Hand Carts Mail Services has hand carts available for user to borrow. User will need to provide a Clark I.D. or photo I.D. as well as leave collateral that will be returned once hand cart is returned. User will provide Clark I.D. or photo I.D. and collateral that will be returned upon cart return.
