How to report emergencies and/or request Facilities Management services

As we head into the spring semester, Facilities Management reminds you of the procedures that should be followed around emergency- or safety-related issues, along with how to request services.

Emergency-, Security-, or Safety-Related Issues

If you become aware of an emergency-, security-, or safety-related issue that requires Facilities Management attention, please report it as noted below.

  • During normal business hours (Monday–Friday, 7 a.m. to 5 p.m.), please call our Work Request Center at 508-793-7566.
  • After-hours emergencies should be reported to University Police at 508-793-7575.
  • Students should report problems to their Resident Adviser (RA), Community Director (CD), or the Dean of Students Office during normal business hours.
  • After-hours emergencies should be reported to the RA, CD, or, if neither of them can be reached, to University Police.

Emergency-, security-, or safety-related issues are those that impact the safety of our community and/or the structural integrity of buildings, grounds, and utilities. Examples include:

  • Major flooding
  • Building- or floor-wide loss of utility services (electricity, water, heating/cooling, etc.).
  • Broken doors, windows, or locks impacting building security
  • Downed trees
  • Biohazards (blood, bodily fluids, etc.)

Campus Infrastructure Issues

Issues involving campus buildings, grounds, or utilities should be reported as follows.

  • Non-emergency issues should be reported by faculty, staff, or administrators by submitting online work order requests, which can be accessed from the ClarkYou portal or on the Facilities Management website.
  • During normal working hours (Monday–Friday, 7 a.m. to 5 p.m.), your online work order request will be routed to the appropriate unit for action.
  • Online work order requests are scheduled by priority (hierarchy of needs/nature of the issue) and date received. While most routine requests are resolved within two weeks or less, requests may take longer in high-volume times of the year (e.g., August–September and May–June), particularly if they are non-emergency issues.

Departmental Work Requests

Departmental work requests, including things like furniture relocation, key duplication, event setup/support, mounting of department-purchased items such as bulletin boards, etc., should be submitted as follows.

  • These items are considered non-emergency in nature and should be requested by faculty, staff, or administrators by submitting online work order requests. Please note that in addition to submitting a work order request, you may need to complete an Interdepartmental Requisition to process applicable charges. Please see “Who Pays” below for additional information.
  • During normal working hours (Monday–Friday, 7 a.m. to 5 p.m.), your online work order request will be routed to the appropriate unit for action.
  • Departmental work requests needed by a certain date or time should be submitted a minimum of 10 business days (two work weeks) in advance of that day or time. For more complex requests, we recommend that you submit the online work order request much sooner.
  • Please note that phone calls to the Work Request Center (or to Facilities Management managers/supervisors) requesting services outside of the online work order request process, and especially inside the 10-business-day minimum, will not be prioritized ahead of already scheduled work.
  • If you have departmental work to request of an emergency nature, please call the Work Request Center at 508-793-7566. WRC personnel will generate the request for you but will require an accompanying written request so that we have the proper authorizing signatures for our records.

Who Pays for Facilities Management Services?

  • Maintenance services consist of routine work performed to maintain the campus buildings (including permanent fixtures and equipment designated as part of a building), grounds, and utility systems. Regular maintenance services are performed at no cost to University departments.
  • Materials and labor used for requests that fall beyond the scope of regular maintenance are generally paid for by the department generating the request. This includes event setup and event support.
  • If a piece of equipment is not part of a building system of which Facilities Management has full operating control, whether it was installed during construction or added later, it is generally the responsibility of the department that controls the equipment to fund its maintenance, repair, or replacement.
  • If we do not provide a particular service, we will, in conjunction with the Business Manager, try to assist University departments in locating a suitable outside contractor or vendor to perform the work.
