With its user-friendly interface and integrated workflows, Cayuse is designed to improve efficiency, ensure compliance, and enhance collaboration across departments.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-the-following-modules-will-be-included-in-clark-s-cayuse-platform\" style=\"padding-top:var(--wp--preset--spacing--20)\">The following modules will be included in Clark\u2019s Cayuse Platform:<\/h2>\n\n\n\n<p><strong>Sponsored Projects (SP) <\/strong>(<em>LIVE February 2026<\/em>)<strong> \u2013 <\/strong>provides a centralized hub to track submissions from inception through close out, marking a significant improvement in how we manage proposal submissions. SP offers a range of benefits:<\/p>\n\n\n\n<ul class=\"wp-block-list is-style-checkmark-list\">\n<li><strong><em>Replace Outdated PDF Routing Forms<\/em><\/strong>: No more filling out and circulating cumbersome PDFs. Cayuse SP provides a user-friendly web interface that streamlines the entire submission process.<\/li>\n\n\n\n<li><strong><em>Automate Routing and Notifications<\/em><\/strong>: Cayuse SP eliminates the need to chase down signatures by automating routing and notifications, keeping your proposal moving efficiently through the approval chain.<\/li>\n\n\n\n<li><strong><em>Built-in Messaging and Collaboration<\/em><\/strong>: Collaborate easily with colleagues using the platform\u2019s internal messaging system, which keeps all communication centralized and organized.<\/li>\n\n\n\n<li><strong><em>Improved Tracking and Centralized Recordkeeping<\/em><\/strong>: Track your proposal\u2019s progress in real-time. Cayuse SP acts as a comprehensive system of record, storing all related information in one secure, accessible place.<\/li>\n\n\n\n<li><strong><em>Real-Time Visibility<\/em><\/strong>: Principal Investigators, Department Chairs, and Administrators can view proposal statuses instantly\u2014no need to wait for email updates\u2014accelerating the overall approval process.<\/li>\n\n\n\n<li><strong><em>Simplified Approval Process<\/em><\/strong>: Cayuse SP reduces administrative burden, allowing you to focus on developing your research rather than navigating procedural obstacles.<\/li>\n<\/ul>\n\n\n\n<p><strong>Proposals (System to System) (S2S) <\/strong>(<em>LIVE February 2026<\/em>)<strong> \u2013 <\/strong>Federal grant application development and submission through Grants.gov. &nbsp;This seamless integration streamlines the submission process by eliminating manual data entry and reformatting.<\/p>\n\n\n\n<p><strong>Fund Manager (FM) <\/strong><em>(Future Implementation) <\/em><strong>\u2013 <\/strong>will supplement and leverage Clark\u2019s financial management system (Banner), offering real-time access to award financial data, empowering principal investigators, grant administrators, and staff to effectively manage project budgets and monitor expenditures.<\/p>\n\n\n\n<p><strong>Project Effort <\/strong><em>(Future Implementation)<\/em><strong>\u2013 <\/strong>will automate time and effort tracking and reporting to comply with federal effort certification and payroll verification mandates.<\/p>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<div class=\"wp-block-buttons is-layout-flex wp-block-buttons-is-layout-flex\">\n<div class=\"wp-block-button has-custom-width wp-block-button__width-100\"><a class=\"wp-block-button__link has-blue-background-color has-background wp-element-button\" href=\"https:\/\/clarku.app.cayuse.com\/\">Cayuse SSO<\/a><\/div>\n<\/div>\n<\/div>\n<\/div>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-transitioning-to-cayuse\" style=\"padding-top:var(--wp--preset--spacing--20)\">Transitioning to Cayuse<\/h2>\n\n\n\n<p>As of February 2026, all external funding proposals will be initiated, reviewed, and approved through the Cayuse Sponsored Projects (SP) module.&nbsp; The previously used <em>Proposal Summary &amp; Approval Form<\/em> will no longer be required, nor accepted.&nbsp;<\/p>\n\n\n\n<p>OSPR\u2019s timeline for review of external funding proposals remains the same &#8211; <strong><em>All applications are due at least 10 days before the funder\u2019s published deadline<\/em><\/strong>.&nbsp; Principal Investigators are required to initiate a proposal record in Cayuse to comply with this timeline.<\/p>\n\n\n\n<p>Cayuse marks a significant improvement in technology and methods use to submit proposals and manage awards, however, the process and guidelines for submission and grants management remain substantially the same.&nbsp;<\/p>\n\n\n\n<div class=\"wp-block-buttons is-content-justification-left is-layout-flex wp-container-core-buttons-is-layout-fc4fd283 wp-block-buttons-is-layout-flex\">\n<div class=\"wp-block-button\"><a class=\"wp-block-button__link wp-element-button\" href=\"https:\/\/www.cayuse.com\/\">Learn more about Cayuse<\/a><\/div>\n<\/div>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-frequently-asked-questions-about-cayuse\" style=\"padding-top:var(--wp--preset--spacing--20)\">Frequently asked questions about Cayuse<\/h2>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>What is Cayuse?<\/summary>\n<p>Cayuse is Clark University\u2019s online platform for managing the entire sponsored projects lifecycle. It supports proposal initiation, development, internal routing and approval, submission to sponsors, tracking proposal outcomes, and post-award management of externally funded projects. The Office of Sponsored Projects and Research (OSPR) is the administrator of the system.<\/p>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>Why are we moving to Cayuse?<\/summary>\n<p>Cayuse allows OSPR to better support you while protecting the university. &nbsp;Cayuse will:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Streamline proposal routing and approvals<\/li>\n\n\n\n<li>Improve visibility into proposal and award status<\/li>\n\n\n\n<li>Reduce administrative burden for faculty and staff<\/li>\n\n\n\n<li>Ensure compliance with sponsor and federal regulations<\/li>\n\n\n\n<li>Provide a centralized source for sponsored projects and research data<\/li>\n<\/ul>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>Who has access to Cayuse?<\/summary>\n<p>All faculty and staff are automatically given access to Cayuse.&nbsp; Log in using Single Sign-on (SSO), i.e., your Clark University email and password.&nbsp; Links to the SSO are found on the OSPR webpage and Clark YOU.<\/p>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>Do students have access to Cayuse?<\/summary>\n<p>No. Students are given access to Cayuse <strong><em>only<\/em><\/strong> if applying through Clark for an externally funded grant or fellowship. The student\u2019s faculty or staff advisor must request that the student be added as a User by submitting a <a href=\"https:\/\/forms.office.com\/r\/2vKapnJVuR\">Request for Cayuse Access Form<\/a>. The form can also be used for new faculty and staff if needed.<\/p>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>Do I have to use Cayuse for all of my grant proposals?<\/summary>\n<p>Yes. Effective February 2026, all proposals for external funding will be processed through the Cayuse platform.&nbsp; Faculty and\/or staff will load all proposal documentation to Cayuse Sponsored Projects or S2S modules; proposals will be internally routed for review and approval in Cayuse.<\/p>\n\n\n\n<p>Department administrators, Department Chairs, and Research Administration will also use Cayuse to review and approve proposals.<\/p>\n\n\n\n<p>All proposals must be approved in Cayuse by OSPR prior to submittal to the Sponsor.<\/p>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>Who can see my proposals and awards?<\/summary>\n<p>Cayuse access is based on Roles and Permissions so that you can only see proposals and awards on which you are listed as Key Personnel.&nbsp; Principal Investigators can also add others to view and\/or edit their proposal.&nbsp; In addition, Department Chairs and Grant Administrators will have access to those proposals and awards within their purview, e.g., Biology Department Chair can see all Biology Faculty proposals and awards.<\/p>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>What does Cayuse NOT do?<\/summary>\n<p>Cayuse <strong>Sponsored Projects (SP)<\/strong> module does <strong>not<\/strong> replace sponsor submission systems like: Research.gov (NSF) or ASSIST (NIH).&nbsp; For most proposals, Clark will continue to submit proposals to sponsors using the designated sponsor-specific portal.&nbsp; Cayuse SP supports <strong>internal routing, approvals, tracking, and compliance<\/strong>.<\/p>\n\n\n\n<p>However, Cayuse <strong>Proposals S2S<\/strong> module does provide a system-to-system interface for federal grant applications that can be submitted to <strong>Grants.gov<\/strong> <em>only<\/em>. This means that if you are applying for funding through Grants.gov, you have the option to use the Proposal S2S module to develop, validate, and submit your proposal directly. Please contact OSPR for access to the S2S module.<\/p>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>Is there training on how to use Cayuse?<\/summary>\n<p>Yes.
