Once this form is submitted, a member of the ITS team will contact you within one month to discuss .<\/p>\n\n\n\n<p>The full process is on the&nbsp;<a href=\"https:\/\/www.clarku.edu\/information-technology-services\/learn-about-its\/university-governance-for-it\/it-request-and-evaluation-process\/\">IT Project Request and Evaluation Process<\/a>&nbsp;page.<\/p>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>How do I know if I have a project?<\/summary>\n<p>A project is a specific activity that produces a defined and measurable result. A project also has a defined beginning and end.<\/p>\n\n\n\n<p>If you have an idea to use information or technology in a new way to support your professional goals, then it is most likely a project and you should start with the&nbsp;<a href=\"https:\/\/forms.office.com\/Pages\/ResponsePage.aspx?id=PSaytapoPkW5cqoUIUEPgHDla5-LW8lBm7-kjZl2a2RUQUlDNEJBQVJCRjA3R005VTJKUU8yTk9GMC4u\" target=\"_blank\" rel=\"noreferrer noopener\">University IT Request Form<\/a>. The following criteria will be used to determine if your request requires Steering Board approval:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Will the request cost more than $25,000 to implement or have annual costs of over $5,000?<\/li>\n\n\n\n<li>Does the implementation of the request involve staff from more than ITS and the requesting department?<\/li>\n\n\n\n<li>Does the request require a new or substantially modified interface to pass data?<\/li>\n\n\n\n<li>Will Clark share Confidential or Restricted Data with a third party?<\/li>\n\n\n\n<li>Will there be a significant increase in ongoing ITS support or maintenance?<\/li>\n\n\n\n<li>Does implementation require the attention of a substantial number of people?<\/li>\n<\/ul>\n\n\n\n<p>If the answer to any of the above questions is yes, then the project will likely require evaluation of the Steering Board.<\/p>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>How long will this process take?<\/summary>\n<p>ITS will meet monthly to discuss any new requests and determine if the request can be fulfilled or if Steering Board approval is required. The Steering Board will meet monthly to discuss outstanding requests. The Advisory Committee will meet monthly to provide assistance in completing the detail requested by the Steering Board.<\/p>\n\n\n\n<p>Once a request has been approved by ITS or the Steering Board, you will partner with a member of ITS to jointly determine the implementation details and project timeline. Project timelines will be dependent upon the urgency of the request, availability of funding (if required), and availability of implementation resources.<\/p>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>Where are the forms I need?<\/summary>\n<ul class=\"wp-block-list\">\n<li>If you are starting a new request, please complete the&nbsp;<a href=\"https:\/\/forms.office.com\/Pages\/ResponsePage.aspx?id=PSaytapoPkW5cqoUIUEPgHDla5-LW8lBm7-kjZl2a2RUQUlDNEJBQVJCRjA3R005VTJKUU8yTk9GMC4u\" target=\"_blank\" rel=\"noreferrer noopener\">University IT Request Form<\/a>.<\/li>\n\n\n\n<li>If additional detail is required from the University IT Steering Board, please complete the&nbsp;<a href=\"https:\/\/forms.office.com\/Pages\/ResponsePage.aspx?id=PSaytapoPkW5cqoUIUEPgHXzgCBURepOr7infoI8nZRURFJRME9UNDBDT1dHRjlNVFhJNlRQVTg5ViQlQCN0PWcu\" target=\"_blank\" rel=\"noreferrer noopener\">Steering Board Detail Form<\/a>.<\/li>\n\n\n\n<li>To view the status of a previously submitted project, please visit the&nbsp;<a href=\"https:\/\/clarkuedu.sharepoint.com\/sites\/ITS-VendorsContractsApplications\/Lists\/Projects\/AllItems.aspx?env=WebViewList\" target=\"_blank\" rel=\"noreferrer noopener\">Project Status Page<\/a>.<\/li>\n<\/ul>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>How do I know what stage of the process my request is at?<\/summary>\n<p>You can see what state your request is in by looking at the&nbsp;<a href=\"https:\/\/clarkuedu.sharepoint.com\/sites\/ITS-VendorsContractsApplications\/Lists\/Projects\/AllItems.aspx?env=WebViewList\" target=\"_blank\" rel=\"noreferrer noopener\">Project Status Page<\/a>.&nbsp; Each request will be detailed there, including what phase of the process it is in.<\/p>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>What criteria does the Steering Board use to determine if a request can be fulfilled?<\/summary>\n<p>The following criteria will be used by the Steering Board to determine if a request is able to be fulfilled:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Impact on elements of the Academic &amp; Financial Plan<\/li>\n\n\n\n<li>Impact on strategic plans at the department &amp; divisional level<\/li>\n\n\n\n<li>Projected financial benefits and\/or operational efficiency gains<\/li>\n\n\n\n<li>Timeline for implementation<\/li>\n\n\n\n<li>Breadth and depth of projected impact<\/li>\n\n\n\n<li>Overall value to the university<\/li>\n\n\n\n<li>Consequences of not doing the project<\/li>\n\n\n\n<li>Likelihood of successful implementation &amp; ongoing management<\/li>\n<\/ul>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>What criteria does ITS use to determine if a request can be fulfilled?<\/summary>\n<p>If a project doesn\u2019t require Steering Board approval, ITS will evaluate the feasibility of the project using criteria approved by the&nbsp;<a href=\"https:\/\/www.clarku.edu\/information-technology-services\/learn-about-its\/university-governance-for-it\/academic-technology-committee\/\" target=\"_blank\" rel=\"noreferrer noopener\">Academic Technology Committee<\/a>&nbsp;(ATC). The following were approved for FY21 and are in priority order:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>University infrastructure (hardware\/equipment\/software in support of enterprise functions such as servers, networking equipment, campus-wide software licensing, etc.); <\/li>\n\n\n\n<li>A primary desktop\/laptop for faculty\/staff as needed to fulfill their stated job responsibilities; <\/li>\n\n\n\n<li>Hardware\/equipment in centrally scheduled classrooms and general computing labs; <\/li>\n\n\n\n<li>Hardware\/software\/equipment to satisfy unique curricular needs*(decisions will be made in consultation with Provost); <\/li>\n\n\n\n<li>Hardware\/equipment in centrally scheduled conference rooms, meeting spaces and event venues; <\/li>\n\n\n\n<li>Hardware\/software\/equipment to meet individual research\/scholarly needs (decisions will be made in consultation with Provost and Dean of Research). <\/li>\n\n\n\n<li>Hardware\/software to meet departmental specific needs including departmentally scheduled classrooms\/labs\/conference rooms; <\/li>\n\n\n\n<li>Departmental printers (shared network printers, individual use printers in limited circumstances),<\/li>\n<\/ol>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>What is the University IT Steering Board for?<\/summary>\n<p>The&nbsp;<a href=\"https:\/\/www.clarku.edu\/information-technology-services\/learn-about-its\/university-governance-for-it\/university-it-steering-board\/\">University IT Steering Board<\/a>&nbsp;exists to&nbsp;align technology strategies and investments with the University\u2019s strategic goals and priorities.<\/p>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>What is the University IT Advisory Committee for?<\/summary>\n<p>The&nbsp;<a href=\"https:\/\/www.clarku.edu\/information-technology-services\/learn-about-its\/university-governance-for-it\/university-it-advisory-committee\/\">University IT Advisory Committee<\/a>&nbsp;exists to assist the project sponsor in completing the details request and ensure the needs of all members of the Clark community have been represented.<\/p>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>What projects are ITS currently working on?<\/summary>\n<p>You can view any current projects or requests at the&nbsp;<a href=\"https:\/\/clarkuedu.sharepoint.com\/sites\/ITS-VendorsContractsApplications\/Lists\/Projects\/AllItems.aspx?env=WebViewList\" target=\"_blank\" rel=\"noreferrer noopener\">Project Status Page<\/a>. Here you\u2019ll see projects currently in progress as well as the status of any current requests.<\/p>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>Am I done with the Steering Board once my project has been approved?<\/summary>\n<p>Part of the charge the Steering Board is to ensure projects are successful. Once a request has been approved by the Steering Board, the Project Sponsor is responsible for updating the Steering Board as to the status of the project no less than every quarter. This update should be brief and include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Have there been any hurdles to successfully completing the project?<\/li>\n\n\n\n<li>Does the timeline and\/or definition of success need to be modified?<\/li>\n\n\n\n<li>Are any additional resources needed to complete the project?<\/li>\n<\/ul>\n\n\n\n<p>Information in the quarterly updates may require the Steering Board to discuss modifying part of the proposal with the project sponsor.<\/p>\n<\/details>\n\n\n\n<details class=\"wp-block-details is-style-faq is-layout-flow wp-block-details-is-layout-flow\"><summary>What does the detailed process flow look like?<\/summary>\n<p>When the Steering Board approves a request, the project sponsor will get more detailed information, but if you\u2019ve made it this far, and you\u2019re curious about what the whole process looks like\u2026<\/p>\n\n\n\n<figure
