RESIDENCE HALL CLOSING 2008

Residence Halls close on Wednesday, May 7th at 12:00 noon for all students who are not graduating, moving to summer housing, or approved to stay for commencement by a department.  All approvals for students staying for commencement must come directly from a University department or office.  Students who are graduating must be moved out of their housing assignment by 12:00 noon on Monday, May 19th.

HOW DO I CHECK OUT OF MY HOUSING ASSIGNMENT?
Students must properly checkout of their assignment to avoid being charged for improper checkout.  This means you must either checkout with an RA and sign a completed Room Condition Card (RCC), or complete an Express Checkout and return your key.

If checking out on or before May 2nd, 2008:
You should checkout between 9:00 and 11:00 PM with the on-duty RA in your building, or you should schedule a checkout appointment with your RA in your building or complete an Express Checkout.

If checking out between May 3rd and May 7th, 2008:
You should checkout during one of the pre-scheduled checkout times (You can determine which RA is available at which times by checking the schedule posted on RA doors in your Residence Hall). RAs will be available during the following times each day:

If these times do not work for you, you may schedule a checkout appointment with an RA in your building or you should complete an Express Checkout.

If checking out on May 7th, 2008:
You should come to the main lobby/lounge of your Residence Hall when ready to be checked out and wait for the next available RA to check your room out.  In order to ensure you have the ability to checkout with an RA, you should be ready to checkout and at the main lobby/lounge by 10:00AM at the latest.  If you request to be checked out by an RA later than 10:00AM you may need to complete an Express Checkout instead depending on RA availability and the number of people waiting.
 

You should schedule an appointment with YOUR RA to have him/her check you out.  Your RA will have times listed on their door when they are available to check students out.  You may sign up to checkout on their door up to 2 hours ahead of time.  If you do not find a suitable time, or can not make an appointment you should email your RA to find the best possible time or you will need to complete an Express Checkout.

If you feel your room is in good condition and would like to waive your right to appeal charges for any damages found by RLH or Physical Plant staff, you may complete an Express Checkout.  Express Checkout is a process where students can drop off their room keys (in special Express Checkout envelopes with their name, building, room and signature filled in on them) to an RA, to University Police, or to the RLH Office.  After you drop off an Express Checkout envelope an RA will enter your room and complete the Room Condition Card (RCC).  Note that if your room/suitemate(s) is/are still present after you drop off your Express Checkout you will be responsible for any damages they create or cleaning that they do or do not complete.

You may either complete an Express Checkout or schedule an appointment to checkout of your space with an RA during a specific time block.  You should call the RLH Office during working hours (M-F 8:30AM-5:00PM) to schedule an appointment.  If you schedule an appointment you are expected to be available during the time frame established.  If an RA does not show up within 15 minutes of the scheduled start time, you may call the RLH Office at x7453 to confirm your appointment.  Due to the number of checkout requests RAs may be delayed on their way to your appointment.

You should be ready and prepared to move within 24 hours of notification from RLH.  Upon moving, you may either complete an Express Checkout or schedule an appointment to checkout of your space with an RA.  You should call the RLH Office during working hours (M-F 8:30AM-5:00PM) to schedule an appointment.

*Please note that students living in Summer Housing will be relocated between May 19th and May 21st based on how quickly rooms in the Summer Housing buildings can be prepared.  All students are expected to move within 24 hours of notification of their space being ready.

WHAT IF I DO NOT CHECKOUT ON TIME?
Students who are found in their rooms after their required checkout time will be charged at a rate of $50 per hour for each additional hour they remain (hours are rounded up).  For example, a student who checks out at 12:01 PM on Wednesday, May 9th will be billed $50.  A student checking out at 1:01 PM that same day will be charged $100.

MY ROOM WAS DAMAGED DURING THE YEAR, WHAT SHOULD I DO?
Room and Residence Hall condition is thoroughly documented by RLH at the beginning of each year and whenever a student moves in and out of a space.  Any changes to the condition of a room or Residence Hall not deemed to be caused by normal wear and tear are considered damages and are billed to any student possibly responsible.  This means in a bedroom all occupants share responsibility for any damages.  In a common room all suitemates share responsibility for damages.  All residents in a hall are responsible for the damages found in a social lounge, bathroom, kitchen, etc, where the cause is not known to RLH.  If you have caused damage to your room and wish to take responsibility for this damage to avoid billing others, you should submit a written statement to RLH indicating your name, housing assignment, Clark ID number, and signature, and the damage which you wish to be held accountable for.  Please keep in mind that any student who completes an Express Checkout may not appeal any damage charges assessed by RLH or Physical Plant.  If you know that your roommate or suitemate caused damages to your room, it is up to you to convince that person to accept responsibility for the damage.

WHAT ARE 22 HOUR QUIET HOURS?
From April 28th at 7:00PM to May 7th at Noon, Quiet Hours are in effect 22 hours per day (7PM-9PM is not quiet hours).  During the 7PM - 9PM break period, students may play music or watch TV at louder volume levels, however 24 hour Courtesy Hours are still in effect and noise which is bothering another person must stop.

Check in your Residence Halls for flyers about closing, and check with your RA if you have questions.  Your RA will be holding a closing floor meeting where they can answer specific questions about closing as well.
